Privacy Policy
Last updated: September 19, 2026
Volleyball Hub (“we,” “us,” “our”) runs a tournament registration and management platform for volleyball organizers, teams, and players across Canada. This policy explains what information we collect, how we use it, and the choices you have. By using Volleyball Hub, you agree to the collection and use of information as described here.
Who this policy covers
This applies to anyone who interacts with Volleyball Hub, whether or not you create an account:
- Visitors browsing public event listings
- Organizers who create and manage tournaments
- Captains who register teams and build rosters
- Players and roster members added to a team by a captain
- Free agents who sign up directly for an event without a team
- Officials invited to score games
- Anyone using an invite or officiating link shared with them
Some features let one person enter information about another — a captain adding a teammate’s name and email to a roster, for example — so we may hold information about you even if you’ve never created an account or visited the site yourself. If that’s you and you’d like to know what we have or have it removed, see “Your choices and rights” below.
Information we collect
Account information
If you create an account, we collect your email address, name, and password (stored as a secure hash, never in plain text — we use Better Auth for authentication and never see or store your password ourselves). Optionally, you can add a phone number, gender, skill level, preferred positions, and preferred sports to your profile — none of it is required, and you can update or remove it anytime from your profile page.
Creating an account requires agreeing to receive email communications from us — invites, registration and event updates, and other account notifications (see “How we use this information” below). This isn’t a separate marketing list you can unsubscribe from while keeping your account; it covers the emails the platform sends you as part of using it.
Event and tournament information
Organizers provide event details when creating a tournament: name, description, venue address, dates, fees, format, and division. If an event is set to “Public” (the default), this information — along with team names, standings, and results — is visible to anyone, including people without an account. If set to “Private,” it’s only shown to people directly involved in the event.
Team rosters and invites
When a captain registers a team, they provide the team name and can invite teammates by name and email. We email the invite to that address, but the link itself is still the credential — anyone with the link can accept it as that person, so captains should only share it with the person it’s meant for. We store the invited person’s name, email, and whether they’ve accepted, declined, or not yet responded.
Free agent listings
Listing yourself as a free agent for an event requires signing into an account — your email comes from that account, and you provide a first name, last name, and optionally a phone number, gender, and preferred positions. Withdrawing a listing removes it from public view; we keep a record that it existed, marked withdrawn, rather than deleting it outright.
Officiating invites
Organizers can similarly invite someone to officiate by email. Accepting requires creating or signing into an account, since officials need an identity to enter game scores under.
Location information
We handle location in two different ways:
- Your location. If you allow it, your browser tells us your approximate location so we can show you events nearby and center the map. This happens in your browser and is only ever sent to our server as coordinates in the page’s web address, so a reload doesn’t ask again — it is never stored against your account.
- Event venue locations. When an organizer enters a venue address, we send that address to Mapbox to convert it into map coordinates, which we store with the event so it can be shown on the map. The map itself — including tiles and search — is also provided by Mapbox; when it loads in your browser, your browser communicates directly with Mapbox’s servers, subject to Mapbox’s own privacy policy.
Technical information
Like most web services, we automatically log some technical information when you use the platform — your IP address, browser/device information, and session activity — mainly to keep accounts secure and diagnose problems.
How we use this information
- Create and manage your account and let you sign in
- Let organizers run tournaments — registration, scheduling, standings, and results
- Let captains build rosters and invite teammates
- Show you events happening near you, if you’ve shared your location
- Keep the platform secure and diagnose technical issues
- Communicate with you about an event or account you’re involved with
We don’t currently process payments through the platform — organizer fees are arranged directly between the organizer and team — and we don’t use advertising or analytics trackers.
How information is shared
- Public event pages show the event’s details, the organizer’s name, registered team names, and public results/standings, to anyone.
- Rosters are visible to the team’s captain and the event’s organizer.
- We don’t sell your personal information to anyone, for any purpose.
- Service providers. We use third parties to run the platform — for example, Mapbox for maps and address lookup, and our hosting and database providers. They only receive what’s needed to provide their service to us, and aren’t permitted to use it for their own purposes.
- We may disclose information if required by law, or to protect the rights, safety, or property of Volleyball Hub or others.
Cookies
We use a single essential cookie to keep you signed in between visits. We don’t use advertising, tracking, or analytics cookies.
Data retention
We keep your information for as long as your account is active or as needed to provide the service — past event results and standings, for example, remain visible as a historical record even after an event is complete. Some records, like a withdrawn free-agent listing, are kept as a soft-deleted record rather than erased outright, so the event’s history stays accurate. You can request deletion at any time — see below.
Your choices and rights
- Update your profile anytime from your account settings — name, phone, gender, skill level, and positions are all self-serve.
- Access, correct, or delete other information we hold about you — including if someone else added your name or email to a roster or free-agent list — by contacting us at privacy@volleyballhub.ca.
- Location permission can be turned off anytime in your browser’s site settings; the platform still works without it, just without “near me” filtering.
- If you’re in Canada and believe we haven’t handled your personal information properly, you also have the right to complain to the Office of the Privacy Commissioner of Canada.
Children's privacy
Volleyball Hub isn’t directed at children, and we don’t knowingly collect personal information from anyone under 13. If you believe a child has provided us with personal information, contact us and we’ll remove it.
Changes to this policy
We may update this policy as the platform changes. If we make material changes, we’ll update the “Last updated” date above; continued use of Volleyball Hub after changes take effect means you accept the revised policy.
